Privacy & Data Protection Policy

In compliance with the UK General Data Protection Regulation (GDPR) and the Data (Use and Access) Act, my practice is registered with the Information Commissioner’s Office (ICO), reference ZC174738.

When we work together, your personal data and any brief notes from our sessions are stored electronically in a secure manner and they will be kept for 7 years following the end of our work together. Your details will be destroyed after this period.

I also collect data (such as your contact telephone number, emergency contact and email address) to assist in the administration of my practice in order to provide you with an effective service. I would like to use your contact details to assist with the administration of your appointments, changes to scheduled appointments and/or invoicing, if applicable. To further enhance my service to you, I would like to be able to update you on any information regarding my practice.

I take your privacy seriously and will take all reasonable steps to ensure the protection of your data. Please note that your right to be forgotten cannot override the legal requirements to keep notes for the mandatory periods. You can request a copy of any data held about you by submitting a Subject Access Request to me at contact@ryanokane.uk. I am legally bound to provide this data within one calendar month of receiving your request.

If you consider that I have infringed data protection legislation because of the way I have handled your personal information, you can make a data protection complaint directly to me by email at contact@ryanokane.uk . Under the Data (Use and Access) Act, I am legally bound to acknowledge your complaint within 30 days of receiving it, and to keep you informed of the progress and outcome of your complaint without undue delay. You can also make your complaint directly to the Information Commissioner’s Office by calling 0303 123 1113.
